Steps to Find Your Room

Steps to Search and Move into an Apartment / Mansion

  1. Customer sends an inquiry to Transborders to find a room.
         ↓
  2. Customer and Transborders communicate by email to clarify conditions for rent, and Transborders sends room proposals to the customer.
         ↓
  3. Customer visits and checks the building and surrounding area of his/her interest.
         ↓
  4. Transborders staff members accompany the customer to visit and show the rooms that s/he is interested in.
         ↓
  5. Customer submits a move-in application form to Transborders for room of interest
         ↓
  6. Landlord examines the application form to judge whether the customer can move into the room.
         ↓
  7. After acceptance by the landlord, Transborders submits and explains to the customer important information regarding contracting and renting the room.
         ↓
  8. Transborders verifies the contents of the documents submitted by the customer.
         ↓
  9. Customer and landlord/Transbordes sign the lease contract.
         ↓
  10. Customer enrolls in a property insurance policy for the room.
         ↓
  11. Customer pays necessary initial fees and first month rent in advance to landlord/Transborders for moving in.
         ↓
  12. Transborders hands over the key to the customer.
         ↓
  13. Customer begins his/her new life in Japan!

(1)Customer sends an inquiry to Transborders to find a room

Transborders proposes room information to customers based on the customer's requests and conditions for rent. Information that we ask our customers to provide include the desired move in date, length/period of lease, rent range, proficiency in Japanese, number of people to live in the room, desired location, existence of Japanese guarantor, and visa status. We understand that as a customer it may be strange to be asked so many questions, including what some may consider personal information. However, the reason we ask many questions is to avoid misunderstandings or problems down the road. Below are a few examples of cases we want to avoid! (Please note that these are hypothesized cases)

<case 1>

We had a customer who gave us only the conditions of: rent of 100,000Yen/month, near XX station, space 35㎡, ideal move-in date Feb. 1st, existence of guarantor, and visa status. However, we were not provided with information of number of people moving in. The customer liked one of them and applied for it, however due to rules regarding the number of people, the customer was regrettably rejected by the landlord.

【We ask that our customers tell us your specific conditions and needs so we can provide you with the best service!】
The more open you are with us about what you are looking for and what your personal conditions are, the better job we can do of finding you a suitable room. Landlords have many conditions for tenants that they specify to agents. There are cases where people who cannot speak Japanese and students who cannot prove their income get rejected. Also in many cases, more than one person is not allowed to move into one-room apartments. With our customers' cooperation, we will make it our responsibility to research and propose rooms that best match our customers' needs and requests.

<case 2>

Customer A inquired about a two bedroom apartment near X station with monthly rent of 10,000Yen/month. We found an option which customer A liked, but as he had a 3 year old child, he also had to look for a kindergarten. All kindergartens near X station were full. Consequently customer A had to give up this room, starting all over again by first finding a kindergarten with vacancy for a 3 year old.

【We ask that our customers tell us about their family conditions and needs as well!】
In this case, if we were provided information from our customer about other members of his/her family, we could help find available kindergartens and incorporate such points when recommending rooms to stay. This could potentially save a lot of time and effort for both our customer and for us.

<case 3>

There was an inquiry to search for one-room apartment within monthly rent of 50,000Yen (this condition was a must) along F train line. Such a room for 50,000Yen/month or under is located near G station or H station. These stations are located in unfrequented business areas, and the apartment offered does not get much sunlight. However the budget of 50,000Yen is kept. When the customer saw the options for 50,000 yen he changed his mind and said he could raise his price to 60,000 for a room with more sunlight, in a more residential area, maybe with a park nearby.

【Please know your realistic priorities for housing before limiting yourself!】
We want to give you the best consultation we can, and find you the apartment that most fits your needs. Help us by being sure of your budget and also what type of room you can envision yourself living in. If reasonable rent is your first priority, you may have to compromise other conditions...if rent and living conditions are both high priorities, let us know that, too! As preferences differ, please tell us exactly what you want.

<case 4>

Customer B asked us to search for a room near his school's campus, telling us that his university could serve as his guarantor. He wanted to live with his girl friend, also a student at the same university. They were shown a room that they both liked. However, upon application, it was discovered that B's girlfriend had already graduated university. The university could no longer serve as guarantor, so in order to rent a room the couple would need to use a guarantor service. Consequently, an additional guarantee fee of 50% of the monthly rent was needed, which exceeded their budget and they ultimately had to give up the room.

【If you plan to move in with another person, please be sure of both of your conditions as tenants in terms of guarantee, etc. 】
In this case, if we had known from the start that B's girlfriend was no longer a student, we could have assumed from the start that the university would not be the guarantor. We also could have calculated initial costs at move-in based on use of the guarantee service, and would have proposed a room within the customer's budget.

Please rest assured that the personal information we receive at Transborders, will not be used beyond the scope of room search.


(2)Transborders sends room proposals to the customer

After informing us of your requests/conditions in detail, we will send you proposals of rooms within 27 hours by email/Fax.


(3)Customer visits and checks the building and surrounding area of his/her interest.

Please see for yourself the apartment and surrounding area to get an idea and feel of the atmosphere.
Though maps in Japan tend to be written only in Japanese, we recommend that our customers research the apartment and surrounding areas a bit for themselves.

<Check points>
1) Environment
  • how long does it take to the nearest bus stop or train station
  • are the streets busy, and is it a well lit area.
  • are there supermarkets and convenience stores nearby
  • is "sento" (public bath) nearby (if your apartment isn't equipped with a bath this will be convenient)
2)The building
  • is it well maintained (no garbage left, etc)
  • are corridors and stairs well lit
  • if there is no space for a washing machine inside the room, how many shared coin washers are installed
  • if there is a shop in the building, what kind of shop is it

(4)Our staff member will accompany you to visit and show you your rooms

(5)Please submits a move-in application form to Transborders for your room of interest

When a customer has decided on a room, a move-in application form must be submitted to book the room. We would also need to confirm that the room is still available, as room information is disclosed to many other agents and anyone can apply for it at a given time. For this reason, when you have found a room that you like, we recommend that you inform us of your interest and apply as soon as possible.

If room vacancy is indicated in room information, please send us your move-in application form.

Although we provide the move-in application form in four languages, these are only translations of the official, original document in Japanese. For first-time visitors to Japan who do not have a Hanko (seal) yet, we ask for your signature on the document.


(6)Landlord examines the application form to judge whether the customer can move into the room

Move-in application form is submitted to the landlord or management companies through us. The landlord would examine, through your application form, the info that you provide about yourself and your guarantor. If any item is left incomplete, the landlord cannot complete this process. If any of the contents are false the application may be rejected, so please take care when filling it out.

To verify the information that you provided, the management companies / landlords may contact your school or your guarantor.

Please be aware that some landlords may request an interview.

When the result of the examination matches the landlords' terms of lease, you can move in!

In the case that the application is refused, please bear in mind that the reason may not be disclosed from the landlord.


(7)After acceptance by the landlord, Transborders submits and explains to the customer important information regarding contracting and renting the room.

A document named Jyuyou Setsumei Jikou (Explanation of Important Information) is given to the customer regarding the terms of the contract and details of the property. We will prepare a translation of this document in three (3) languages other than Japanese.

For the procedures after the landlord accepts, real estate companies other than Transborders may be in charge. In such case documents may be in Japanese only.


(8)Transborders verifies the contents of the documents submitted by the customer (copy of passport, etc.)

We will check the documents submitted by the customer. Required documents differ by landlord / management company. We will check to make sure that the contents that you submit are identical to the move-in application form, etc.


(9)Signing the lease contract

Though the lease contracts are predominantly written in Japanese, we will prepare translations in three languages (English, Korean, and Chinese). The translated versions of the contract are for customer's reference, and the official document that require customer's signature would be in Japanese.


(10)Please enrolls in a property insurance policy for the room.

Enrollment of property insurance is compulsory for almost all rooms. When the system recommended by schools called the "Comprehensive Renters Insurance for Foreign Students Studying in Japan" is used, fire insurance is included. If the landlord / management company approves of the scope of what the "Comprehensive Renters Insurance for Foreign Students Studying in Japan" covers, additional enrollment in fire insurance is not needed.


(11)Customer pays necessary initial fees and first month rent in advance to landlord/Transborders for moving in.

Payment of initial fees include deposit or guarantors fee, key money or service cost, rent (in Japan payment is done in advance), administration fee, common service fee, agent's commission, and insurance fee. Please remit them to Transborders' designated account.

(12)Transborders hands over the key to the customer

After your payment has been received, we will give you your room key. Customer may be asked to sign a temporary receipt. Also, for people who are staying in Japan for the first time, we will give a brief explanation on the basics such as: setting up electricity, gas and water, and rules regarding garbage disposal (how and when you throw it out differs by residential area and rules are quite strict).


(13)Customer begins his/her new life in Japan!
