Steps to Find Your Room

Steps to Find Rooms for a Short-Term Stay
  1. Customer sends an inquiry to Transborders to find a room.
  2. Customer and Transborders communicate by email to clarify conditions for rent,
    and Transborders sends room proposals to the customer.
  3. Customer visits and checks the building and surrounding area of his/her interest.
    ↓                   ↓
In case where Transborders subleases the room
(for apartments beginning with code no.003)
In case where the customer leases the room by himself/herself
(for apartments beginning with code No.006)
  1. Customer submits to Transborders info required to apply for a room.
        ↓
  2. Transborders runs a check to verify the information submitted from customer.
        ↓
  3. Transborders informs the customer of the result.
        ↓
  4. Customer submits a move-in application form to Transborders for room of interest.
    (Rooms will be secured only after Transborders receives the application form. Rooms can be secured from 1 month beforehand, but not before that.)
        ↓
  5. Transborders sends you a lease contract and invoice.
        ↓
  6. Customer signs the contract and sends it back to Transborders
        ↓
  7. Customer makes payment to Transborders’ account.
        ↓
  8. Transborders hands key to customer (or informs customer of “Key Number” to enter the room)
        ↓
  9. Customer begins his/her new life in Japan!
  1. Transborders sends to the customer an application form designated by the landlord (in Japanese only)
        ↓
  2. Application form and other necessary documents (i.e. proof of identification, copy of visa, etc.) are sent directly from the customer to the landlord.
    (Application must be filled out in Japanese. No need to pass through Transborders)
        ↓
  3. Customer directly remits 10,000 yen to the landlord
    *20,000 yen in case customer does not move-in for 1 month or over(appropriation of contracting fee)
        ↓
  4. Landlord sends the lease contract to customer.
        ↓
  5. Customer sends back a signed contract to the landlord
        ↓
  6. Customer remits the remaining amount of money to the landlord’s designated account by 1 week prior to move-in.
        ↓
  7. The landlord hands over the room key at the apartment on the move-in day
        ↓
  8. Customer starts living in his/her new room!
In case where Transborders subleases the room(for apartments beginning with code no.003)

Steps 1-3 are the same as those pertaining to a long term lease. Please see here. Please note that rooms can be secured from 1 month beforehand, but not before that.


(4)Customer submits to Transborders info required to apply for a room.

If you like any of the rooms we offer, please send us the following information by FAX.

For documents such as copy of passport, please send us enlarged copies (not original size).

In cases where a contract is not signed, all customer information will be eliminated immediately and proof of elimination (in Japanese) will be sent to the customer, so please do not worry. At Transborders all customer information is strictly administered within the company’s privacy policy. If anything remains unclear, feel free to contact us.

  1. Copy of passport (page containing your photo, and page containing latest visa status)
  2. Cell phone number(number in Japan if available)
  3. Name of emergency contacts, his/her phone number, and relation to the customer
  4. For International students: copy of student ID card, proof of financial supportability (most recent balance statement of bank account), and proof of scholarship if this is a financial source.
    For students who do not yet have ID cards for the school you will be attending, please send a copy of your admission confirmation paper. If you do not have this, please send a copy of acceptance letter with a copy of bank remittance of the admission fee.
    For students under 20 years old:in addition to copy of student ID card and balance statement of bank book, name, address and contact address(country, phone No., email address)of parents or guardian.
    For people who will work in Japan: Proof of employment (employment certificate), and proof of income.

Among the documents sent from customers to Transborders, the only document sent to the real estate management company is the copy of your passport. No other information will be forwarded to a third party. All customer information is used strictly for examination of move-in and for contacting customers after move-in.


(5)Transborders runs a check to examine the information submitted from customer

As corporate procedure, Transborders may contact applicant’s workplace, school and or guardian for verification.


(6)Transborders informs the customer of the result.

(7)Customer submits a move-in application form to Transborders for room of interest.

Rooms will be secured only after Transborders receives the application form. We will work as quickly as we can, and your cooperation to submit your information is greatly appreciated. Cancellation after submission of application form requires payment of 40,000Yen.


(8)Transborders sends you a lease contract and invoice.

(9)Customer signs the contract and sends it back to Transborders.

For customer under 20 years old, a guardian’s signature is required for the contract. A contract cannot be finalized with only the signature of a customer under 20 years old.


(10)Customer makes payment to Transborders’ account.

Please remit initial cost and 2 months rent to the account designated by Transborders. We will inform you of the due date on an individual basis. (This also pertains to contracts less than 2 months). Remittance to our account from overseas takes time, so please make sure to incorporate this time delay when making your payment.

Our commission (tax not included) is as follows:

  • For stays under 1 month: 10,000Yen
  • For stays over 1 month, under 3 months: 25% of monthly rent
  • For stays over 3 months, under 6 months:50% of monthly rent
    →limited time offer for discount!! Now only 35% of monthly rent!(until Oct.31, 2007)
  • For stays over 6 months and under 1 year: 75% of monthly rent
    →limited time offer for discount!! Now only 50% of monthly rent!(until Oct.31, 2007)  

In case of a cancellation during the tenure of the contract, commission fees will not be refunded.
Commission for renewal of contract is as follows:

  • Renewal period of less than 6 months: 10,000Yen
  • Renewal period of over 6 months and under 1 year: 20,000Yen

(11)Transborders hands key to customer (or informs customer of "Key Number" to enter the room)

Most room keys are in the form of code numbers. We will call to inform you of the Key Number. If the room requires keys, please visit us at our office for hand over.

(12)Move into your new room!

For newcomers to Japan, we will explain how to set up your electricity, gas, and water. We will also inform you about how to throw out garbage (rules are strict, and differ by residential area)



In case where the customer leases the room by himself/herself (for apartments beginning with code No.006)

When a customer makes a direct contract with landlords/management companies, all procedures will be done in Japanese (including application form, contract form and transactions such as email and phone calls). If you need interpretation, please let us know so that we can offer you our service. If our interpretation service is not needed, commission to us is unnecessary.

Additionally, in the case of application from abroad, for saving remittance charge it is better to remit Item C (10,000 or 20,000) yen together with Item F: (remaining payment amount)

<POINTS WORTH NOTING>

No.1: It maybe difficult to look inside the rooms prior to rent.
Many short-term apartments are occupied until just before the start of your lease, so it is difficult to have a look before moving in. For this reason, we have requested that landlords send us several clear photos of the rooms.

No. 2:Midterm cancellation of contract
In the case of midterm cancellation of contract, please send prior notice of cancellation 45 days in advance. For example, if you planned to live in a room until December 1st at sign up, but change your mind and wish to move out on November 1st, please notify us by September 16th. If you notify us after September 16th , you will be asked to pay rent until Dec. 1st.
